Job Description

We are searching for a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Executive Officer (CXO) level leader. The ideal candidate will possess exceptional communication skills, demonstrating meticulous attention to detail and the ability to manage complex administrative tasks efficiently. Proficiency in standard office software applications is essential. This role requires a proactive individual who can anticipate needs and contribute to a seamless workflow for the CXO. The successful candidate will be a key member of the executive team, requiring discretion, professionalism, and a commitment to maintaining a high level of confidentiality.

Responsibilities

  • **Calendar Management:** Proactively manage the Leader’s complex calendar, scheduling meetings, appointments, and domestic and international travel arrangements, ensuring optimal time utilization and minimizing scheduling conflicts. This includes coordinating with internal and external stakeholders to confirm availability and logistical details.
  • **Communication Management:** Act as the primary point of contact, screening and prioritizing incoming calls and emails. Compose and draft professional and accurate responses on behalf of the CEO, adapting communication style to the recipient and maintaining a consistent brand voice.
  • **Travel Arrangements:** Arrange and coordinate all aspects of domestic and international travel, including booking flights, accommodations (hotels, alternative lodging as needed), and ground transportation (cars, airport transfers etc.). This also includes managing itineraries, visa applications (if required), and ensuring all travel documentation is complete and accurate.
  • **Meeting Preparation:** Prepare comprehensive agendas, gather and organize necessary materials, and create and distribute pre-reading materials for key executive meetings. Take detailed, accurate, and concise meeting minutes, ensuring timely distribution to all relevant parties.
  • **Document Management:** Prepare, draft, edit, and proofread confidential documents, presentations, reports, and correspondence on behalf of the CEO, ensuring accuracy, consistency in style, and adherence to company guidelines.
  • **Project Coordination:** Provide administrative support for special projects as assigned, including establishing timelines, tracking progress, coordinating with cross-functional teams, and ensuring project deliverables are met on schedule and within budget.
  • **Executive Support:** Handle highly confidential information with the utmost discretion and professionalism. Anticipate the CEO's needs and provide proactive support, contributing to a productive and efficient work environment.
  • **Relationship Building:** Cultivate and maintain positive, professional relationships with internal and external stakeholders, including senior executives, board members, clients, and other key individuals.

Education Qualification
