Job Description
We are actively seeking a highly organized, exceptionally efficient, and proactive Executive Assistant to provide comprehensive, high-level support to key leaders within Philips, specifically serving the Head of PIC, HR, and Finance departments. This pivotal role demands exceptional communication abilities, refined interpersonal skills, and proven administrative expertise, coupled with a strong aptitude for managing complex and ever-changing schedules and prioritizing critical tasks effectively and proactively in a demanding, fast-paced environment. The ideal candidate will be a resourceful problem-solver capable of independent action, a collaborative team player who fosters a positive and productive work environment, and a trusted confidante known for discretion and loyalty. The successful individual will manage day-to-day operational and functional tasks with precision, as well as cultivate strong relationships with both internal and external stakeholders, all while ensuring seamless communication flow and impeccable schedule integrity. Furthermore, this role includes actively supporting the broader PIC team through meticulous event coordination, professional visitor management, and providing functional leadership and guidance within the EA team. Responsibilities
- - Providing dedicated support to the Head of PIC, HR, and Finance in their daily operations and functional responsibilities, encompassing tasks such as structuring and diligently scheduling high-profile meetings with various levels of stakeholders, both internal and external, and providing necessary support to facilitate effective networking opportunities.
- - Proactively managing their comprehensive travel arrangements, ensuring accurate and timely expense report submissions, and expertly handling all other required administrative tasks, including arranging air/hotel/ground transportation while meticulously creating detailed and comprehensive travel itineraries.
- - Expertly managing complex calendar and scheduling requirements, taking into account and accommodating multiple geographical time zones to ensure efficient time management for all stakeholders.
- - Managing effective communication with a broad spectrum of Internal & External stakeholders and strategic partners, maintaining a professional and responsive communication style.
- - Carefully planning, coordinating, and ensuring the schedules are adhered to and respected. Acting strategically as a “gatekeeper” and a “gateway,” creating win-win situations to facilitate direct and appropriate access to the leader’s availability.
- - Coordinating PIC LT (Leadership Team) level meetings, including all logistical preparations and follow-up actions.
- - Preparing detailed meeting agendas and ensuring meetings are coordinated efficiently, with clear objectives and desired outcomes.
- - Proactive planning and diligent execution of assigned tasks, including comprehensive follow-up of action items arising from PIC LT Meetings, Strategy sessions, and Quarterly meetings, ensuring continuous improvement in all processes and procedures.
- - Coordinating and supporting Town Meetings, Team Lunches & Dinners, Off-site Business Logistics (OBL), and other team-building activities, ensuring seamless execution and positive team experiences.
- - Coordinating preparation and calibration meetings for various initiatives, including Town Halls and Recognition & Rewards (R&R) programs, ensuring clear communication and alignment across teams.
- - Ensuring flawless planning and comprehensive management of all visitors to PIC, projecting a professional and welcoming image.
- - Publishing comprehensive visitors' travel schedules and actively managing their meetings with the PIC Head, HR & Finance, providing exceptional service and support.
- - Planning and scheduling comprehensive PIC overview and strategic meetings with visitors and the Leadership Team, ensuring productive and informative sessions.
- - Coordinating closely with the EA team for seamless execution of agenda preparation, logistical arrangements, and Business Unit (BU) gemba walks (on-site observations).
- - Acting as the functional leader for all PIC Executive assistants, providing guidance, mentorship, and support while helping to cultivate a collaborative team culture to elevate the EA team to the next level of operational excellence and service delivery.
- - Driving close collaboration with Business and Global EAs by proactively building strong working relationships throughout the teams and across the broader Philips organization.
- - BCP (Business Continuity Planning) – be an active and engaged contributor in coordinating and supporting the BCP core team, ensuring business resilience and readiness.
- - Championing continuous improvement of policies and processes to drive better overall output, increased productivity levels, enhanced efficiency, and exceptional quality in all aspects of the role.
Education Qualification
- - Bachelor’s degree from an accredited institution.
- - Proven experience of 5-7 Years working as a dedicated Executive Assistant in a fast-paced, dynamic environment.

- - Excellent and demonstrable communication skills, both written and oral, with the ability to articulate ideas clearly and concisely.
- - Proven ability to build strong and effective working relationships, and manage multiple projects simultaneously with efficiency and accuracy.
- - Must demonstrate the ability to work cooperatively and collaboratively with other employees and managers at all levels to achieve shared goals and objectives.
- - Strong organizational skills, exceptional time management skills, and the proven ability to effectively manage multiple priorities and work calmly and effectively under pressure.
