Responsibilities

  • ClickUp Workflow Administration: Maintain oversight of task workflows across all departments, ensuring meticulous progress monitoring and sustained accountability.
  • Recurring Task Management: Diligently track and follow up on recurring tasks to guarantee consistency and timely completion.
  • Calendar and Meeting Coordination: Proactively arrange internal and external meetings, meticulously manage calendars, and prepare comprehensive meeting minutes for distribution to the team.
  • Digital File Management: Maintain and organize digital file systems, encompassing organizing, renaming, and archiving files across shared drives to ensure efficient accessibility.
  • Email and Communication Assistance: Professionally manage and respond to incoming emails, prioritizing correspondence as necessary for leadership consideration.
  • Project Support Activities: Provide support to various teams by assisting with project timelines, deliverables, and progress updates across platforms such as Google Sheets, ClickUp, and Dear Inventory.
  • Market Research and Reporting: Conduct thorough research on market trends, competitive landscape analysis, and relevant industry developments; prepare comprehensive reports as required.
  • Customer Service Liaison: Serve as the initial point of contact for inquiries, providing courteous, helpful, and informative responses to enhance the customer experience.
  • Standard Operating Procedure (SOP) Development and Video Recording: Create and maintain clear and concise Standard Operating Procedures (SOPs) in written format, and produce SOP videos adhering to the company’s established standards for clarity, tone, and brand consistency.
  • General Administrative Support: Assist with a diverse range of administrative tasks as assigned to effectively support overall business operations.

Qualifications

  • Demonstrated experience as a Virtual Assistant or in a similar administrative support capacity.
  • Exceptional written and verbal communication skills in English, exhibiting clarity and professionalism.
  • A high degree of attention to detail, coupled with strong organizational and follow-through capabilities.
  • Proficiency in utilizing project management tools, with a particular emphasis on ClickUp.
  • Proven ability to manage schedules and appointments with minimal supervision.
  • Comfort and flexibility in managing multiple priorities and collaborating effectively across various departments.
  • Technologically adept and possess a strong desire to remain current with emerging tools and platforms.
  • Proficient in creating comprehensive SOP documentation and recording clear, concise SOP instructional videos.
  • Effective documentation capabilities – able to translate discussions and information into well-articulated written documents.
  • Self-motivated and proactive, with a positive attitude and a willingness to exceed expectations.
  • Ability to perform effectively under pressure in a dynamic and fast-paced work environment.
