Job Description

The Invoice Specialist I plays a crucial role within the Submeter Billing department by providing exceptional customer support. This involves ensuring the accuracy, completeness, and timely entry and validation of data across various business systems.

Responsibilities

  • Accurately input meter readings and associated billing information into the system.
  • Precisely enter main utility data and other relevant billing and usage details into diverse reports and formats.
  • Communicate effectively with customers and fellow Invoice Specialists regarding any irregularities or discrepancies identified in meter readings or utility rates entered into the various systems and reports.
  • Generate reports and invoices in Excel and PDF formats, upload tenant charge files, and distribute invoices to customers and tenants as required.
  • Maintain diligent tracking of assignment progress within Microsoft Planner.
  • Manage and respond to incoming customer calls related to Submeter Billing inquiries, addressing their needs professionally and efficiently.
  • Provide courteous and informative assistance to clients, directing them to the appropriate personnel for their specific inquiries.
  • Assist in conducting research pertaining to rates necessary for accurate invoice generation.
  • Provide guidance and training to new team members as required.
  • Communicate availability to colleagues to facilitate task distribution and workload management.
  • Actively participate in company and team meetings to contribute to collaborative discussions.
  • Contribute to ongoing efforts to streamline and optimize existing processes.
  • Perform other related duties as assigned by management to support the overall team objectives.

Qualifications

  • High school diploma or equivalent (GED) required; Associate’s degree preferred. A minimum of 1 to 3 years of relevant experience and/or training, or an equivalent combination of education and experience may be considered.
  • Proficiency in computer skills is essential, including familiarity with and prior experience using Microsoft applications such as Teams, Excel, Word, and Outlook.
  • Demonstrated data entry skills, including proficiency in 10-key pad operation and keyboard typing.
